Terms & Conditions

Create a short film of up to 90 seconds about the Hidden Gems you have discovered in the City of Charles Sturt for a chance to win great prizes and have your film shown on the big screen at the Woodville Town Hall.

Prizes will be awarded in seven categories at the Westside Film Festival Awards night on Friday 8 May 2020.

Terms & conditions
  1. The promoter of this competition is the City of Charles Sturt, PO Box 1, Woodville SA 5011. ABN 42 124 960 161.

  2. A completed entry form, the film and relevant files must be submitted via www.westsidefilmfestival.com.au by 5pm on Monday 30 March 2020.   6pm on Monday 6 April 2020.

  3. Films must be in .mp4 format and under 1000mB.

  4. The Westside Film Festival is free to enter.

  5. Entry is limited to residents of South Australia aged 12+. You do not need to be a resident of the City of Charles Sturt to enter.

  6. No elected member, person employed by the City of Charles Sturt or immediate family member of an elected member or person employed by the City of Charles Sturt shall be permitted to submit an entry for the competition.

  7. Entry is open to both individuals and community groups.

  8. Entries must address the following criteria:

    a. Positively promote a face and/or place within the City of Charles Sturt, in keeping with the 2020 theme of ‘Hidden Gems’.
    b. Films must be a maximum of one minute and thirty seconds (1:30) in length, excluding credits.

  9. Films can be shot, edited and produced on any camera, smartphone, computer or other device.

  10. Along with your entry, you must provide the following:

    a. Two ‘behind the scenes’ photos from your shoot (high resolution)
    b. One photo that best represents your film (high resolution)
    c. All required permissions and permits, including talent release forms, location agreements
    d. Submission form
    e. A one paragraph blurb

  11. Films can be in any genre – eg fiction, non-fiction, biography etc.

  12. Entrants can only use equipment that may require a permit such as drones, cranes or other equipment if the relevant permits are obtained and provided as part of the entry submission process.

  13. Videos can be produced in any language, please provide subtitles if your video is not in English.

  14. Entries can be resubmitted before the deadline providing they are clearly marked as a resubmission. This will render the initial submission null and void.

  15. Up to two films may be submitted per entrant, providing each entry is submitted separately and accompanied by its own entry form.

  16. Prizes will be awarded in the following categories:

    Best Film - $1000 + trophy
    Best film 12-18 years - $300 + Acting classes with TYPE Talent + trophy
    Best Community Film - $300 + TBC + trophy
    Best On Screen Talent - $300 + professional headshots by Ben Liew
    Best Direction - $300 + A day's studio hire at Hendon Studios + trophy
    Best Cinematography - $300 + Pro AV Solutions voucher for $500 + trophy
    People's Choice - $300 + TBC + trophy

  17. The winners will be announced at the Westside Film Festival Gala Awards Night at the Woodville Town Hall on Friday 8 May 2020.

  18. The City of Charles Sturt will make prizes out to the name listed on the entry form where applicable.

  19. In the event of a group entry winning a prize, only one prize will be awarded. If a winning entry is a group effort, the prize will go to the name (person or organisation) on the entry form. Any further distribution of the prize money is the sole responsibility of the group. The City of Charles Sturt bears no responsibility for the distribution of prize monies within a group.

  20. The City of Charles Sturt will endeavour to show all eligible entries at the Westside Film Festival Gala Awards Night, however submitting an entry does not guarantee that the film will be shown.

  21. This is a game of skill. Chance plays no part in determining the category winners. The City of Charles Sturt will appoint a panel of judges to select winners. The decision of the panel of judges is final and no correspondence will be entered into.

  22. The Entrant is acknowledged as the owner of the Intellectual Property of the entry. By submitting an entry you grant the City of Charles Sturt a royalty free, fee free nonexclusive licence to use, copy, and distribute the Intellectual Property as it feels is appropriate in perpetuity.

  23. It is a condition of granting this non-exclusive licence that the Entrant permits the City of Charles Sturt to the extent that it deems is suitable to satisfy its legal obligations, to add, remove or otherwise modify the content of an entry as deemed appropriate.

  24. By submitting an entry, you consent to the City of Charles Sturt showing the entry online via its websites, digital distribution lists, YouTube accounts, Facebook pages or any other digital media it deems appropriate. In addition, you consent to the entry being shown at events within the City of Charles Sturt or as distributed by the City of Charles Sturt to events outside its boundaries. These may include conferences, seminars, workshops, community events, movie showings, or any other event as determined appropriate by the City of Charles Sturt.
    The entries selected for use will be at the sole discretion of the City of Charles Sturt.

  25. Each entry must be the original work of the entrant(s) and must not contain any material that infringes on the copyright or intellectual property rights of another person or organisation.

  26. The Entrant fully indemnifies the City of Charles Sturt for any loss, cost, damage or liability caused by a breach of this section by the Entrant.

  27. By submitting an entry, you confirm that you have obtained the appropriate permissions and releases relating to the film entry particularly where copyright exists. You also confirm that you have obtained appropriate consents for all people involved in producing, acting, song-writing or in any other way being involved in your film. Any documents relating to this must be uploaded along with your film.

  28. Where persons under the age of 18 years are involved, the written consent of that person’s parent or guardian must be obtained and provided to the City of Charles Sturt if requested.

  29. Entrants warrant that they did not breach any laws in the making of their video, and that the display of the video likewise does not breach any laws. This warranty includes, but is not limited to, the laws of trespass and the laws of defamation.

  30. The City of Charles Sturt reserves the right to veto any entry at any stage of the competition. Entries must not contain any material that is libellous, defamatory, obscene, indecent, harassing or threatening or otherwise unlawful. The film must not contain material that would be likely to cause the film to be classified M or higher.

  31. The City of Charles Sturt reserves the right to cancel or amend the number of prizes given if the City of Charles Sturt determines, at its sole discretion, that there are an insufficient number of entries or that the entries are of an insufficient quality or otherwise do not comply with these terms and conditions.

  32. Winners may be requested to offer support to promotional activities related to the campaign and this contest such as personal profiles, background information and photos.

  33. If at any time any circumstance or event beyond The City of Charles Sturt’s control occurs that affects the conduct of the competition in accordance with these terms and conditions, the City of Charles Sturt may, at its sole discretion, take such action as it considers appropriate including disqualifying any entrant, cancelling, postponing, suspending or varying the competition.

  34. The City of Charles Sturt accepts no responsibility for any late, lost, incorrectly submitted, delayed, ineligible, incomplete, corrupted or misdirected entry whether due to error or otherwise.

  35. The filmmaker, producer and all agents involved in the film’s production indemnify and hold harmless of any liability for injury, loss or damage the City of Charles Sturt, its contractors, the judging panel and/or any staff or elected member - individually or collectively - resulting directly or indirectly from their participation in the competition.

  36. Privacy Consent: By entering this competition, the entrant agrees to have their personal information as provided as part of the entry being collected and stored on the Council’s databases and for advertising, marketing and promotional purposes without compensation, unless otherwise prohibited by law.

  37. Council may, at its own discretion, amend these Terms and Conditions if and when required and/or cancel the competition at any time without notice or further recourse to entrants. Any such amendments shall be effective upon being live on the terms and conditions. Entrants agree to be bound to any amendments in the Terms and Conditions so please ensure that you review these Terms and Conditions for any updates.

  38. The first five residents of The City of Charles Sturt who submit a valid entry will receive a $250 voucher to spend at Pro AV Solutions, 247 Greenhill Road, Dulwich, SA.
